Introduction

Methodology and Solution
We engineered a robust architecture centered on a four-tier role-based system to ensure data integrity and process speed. Key components include:
- Automated Vendor Onboarding: Owners and POCs share unique links via email, allowing vendors to self-onboard and populate the master database directly.
- Role-Based Workflow (RBAC): Integrated distinct interfaces for Super Admins, POCs, Accountants, and Vendors to manage specialized tasks securely.
- End-to-End Invoice Lifecycle: Enables vendors to raise invoices directly to POCs; once approved, Accountants receive instant notification to process payments.
- Elimination of Communication Silos: Built-in commenting and real-time email notifications ensure all discussions happen within the VPS, removing the need for external chat.
- Centralized Audit Dashboard: Provides Super Admins with a bird’s-eye view of all PO requests, invoices, and vendor data for total financial oversight.
